Vibe Arts Family Code
The Vibe Arts Family Code explains what we ask of each other, so every student feels safe and every member of our team can do their best work.
Respect and courtesy
- Please treat our teachers, coaches, other families and other children with courtesy, in person, by phone, by email and online. We do not accept shouting, swearing, threatening behaviour or abusive messages towards anyone connected with Vibe Arts.
- Our team will always treat you and your child with respect too.
How to contact us
- Our official channels are email (mail@vibearts.co.uk), phone or WhatsApp (0208 058 18 58), Instagram (@vibeartsuk), the Saturday Portal and TutorBird. Please do not message teachers on their personal phones or social media.
- Families are kindly asked to avoid engaging teaching staff in extended conversations at drop-off and pick-up times. While we understand there may be quick updates or hellos, our priority is always the safety and supervision of the students, and staff need to remain fully focused during transitions between sessions.
- We reply as soon as we can, and always in writing for anything important.
Decisions that belong to our teachers
- Our teachers and coaches decide how classes are organised, which group a student is in, and how each student is taught.
- For LAMDA, our coaches decide which grade a student works towards and when they are ready for an exam. We do not rush, and we do not respond to pressure to skip grades or to take an exam by a set date. This is set out in Exam readiness in our LAMDA Terms & Conditions.
- We are always happy to talk about your child’s progress. Just ask their teacher or coach.
Keeping everyone safe
- Please collect your child on time, and tell us in advance if someone else will be collecting them (Saturday School families can add them in the Saturday Portal).
- Please do not stay on the premises during classes unless we have agreed it.
- Please do not take photographs or video of other people’s children, or post them online. See our Photography & Video Policy.
- Please tell us straight away about any change to your contact details or your child’s medical needs (Saturday School families can update these in the Saturday Portal).
- Vibe Arts does not run parent messaging groups. If you are in one, please keep it kind, and do not use it to discuss named staff or children.
If something is not right
Worried about a child’s safety, or an adult’s behaviour?
That is a safeguarding concern, not a complaint. Please use www.vibearts.co.uk/concern so it reaches the right people straight away. If anyone is in immediate danger, call 999.
- Write to us. Please put complaints in writing to the Principals, Matthew Rowland and Alex Turney, at mail@vibearts.co.uk, rather than raising them with teachers or coaches, who are often looking after children or acting on our behalf. Tell us what happened, when, who was involved, and what you would like us to do. We will acknowledge it promptly, look into it fairly, and aim to reply in writing within 10 working days. If it needs longer, we will tell you why.
- Ask for a review. If you are not happy with our reply, please tell us promptly and say why. The Principal who was not involved in the first reply will review it, and we aim to give you a final written answer within 10 working days.
- If it is about a Principal, please say so and the other will handle it. If it is about both of us, please say so too: we will still look at it carefully and reply in writing.
- Handled elsewhere: LAMDA exam results, or the way an exam was run, go through LAMDA’s own process, and if your concern is about a school that hosts a club, the school has its own. Tell us and we will help you with either.
- We keep complaints confidential, record the outcome, and use what we learn to improve.
If this code is not followed
- We will start by talking to you, because most problems are misunderstandings. If it continues, we may confirm our concern in writing and ask you to use one named channel only.
- If behaviour is abusive, threatening or puts anyone at risk, we may ask you not to come onto the premises, and in serious or repeated cases we may end your child’s place. Fees are not refunded in these cases, in line with our Terms & Conditions.
- Our aim is always a safe, happy place for every student and every member of our team.
